- All group members must register for the same tour.
- A group of 10 must have a group name and designate a contact person for the group. Travelers will be listed under their group. The group’s name can be the name of the shop, guild, or anything they choose. The designated contact person is responsible for making sure that all paperwork is colected and submited to Quilty Travel. The contact person is the main contact for Quilty Travel staff.
- Travel fees (+applicable taxes and gratuity) for 9 persons must be paid in full to guarantee 10th person goes free.
Terms and conditions
Before making a reservation with Quilty Travel, we encourage our clients to read these Terms and Conditions carefully, as they constitute a contract agreement between Quilty Travel and you from the time the booking is made. All rights and liabilities of the client and/or us with respect to any services to be provided by us shall be restricted to the scope of this agreement.
Total Tour Price:
Tour prices are based on double occupancy per room accommodations. Tour prices include airfare, land rates and exchange rates at the time of arrangements and maybe subject to fuel surcharges and international departure taxes that will be reflected on the final invoice. If the purchaser selects the land-only option, it is client’s responsibility to get from their point of origin to the hotel. Each tour is subject to a minimum number of travelers. Should less than twenty persons participate in a designated tour, a price adjustment may be necessary or trip maybe cancelled.
EXCLUSION FROM TOUR PRICE: The following items are excluded from the tour price: *visa, passport and vaccination charges; *departure, airport and airline taxes; *extra meals not included in the itinerary; *laundry, postage, personal clothing, medical expenses, personal travel insurance and items of a personal nature; *emergency evacuation charges; and *tips and excess baggage charges.
Deposits and Cancellations:
Deposit payment of $500 USD per person is required to secure reservations. Any balance is to be paid in full no later than 60 days before departure date of tour. Late payment will result in a 5% late fee and/or forfeit of space.
Client may cancel the booking at any time provided that the cancellation is communicated to the Company in writing. Cancellation charges will be applied as shown below calculated from the day when written notice is received by the Company. However, in addition to the charges shown below many air tickets have no refund value whatsoever and, therefore, airlines may impose 100% cancellation charges and the cost of a new ticket. Cancellation charges apply as follows:
Period before departure:
- 60 days or more – Full refund
- 59 – 31 – 50% of total cost and deposit
- 30 days or less – 100% of total cost
If the reason for cancellation is covered by the client’s travel insurance policy, the client may be able to reclaim these charges.
Visas & Vaccinations
Passports, visas, vaccinations, and entrance fees: Clients must ensure that they are aware of all relevant passport and visa requirements and that they allow adequate time to obtain them. Please note that many countries require that passports are valid for six months beyond the period of the individual’s visit. Requirements can change and it is the client’s responsibility to ensure that they comply with current passport, visa and health requirements and take all necessary documents with them to gain access to any country or region which forms part of the tour. The Client will be solely responsible for any cost, loss or damage which he or the Company incurs as a result of a failure to obtain all necessary passports, visas and/or vaccinations.
Illness or Disability
Anyone suffering from illness or disability or undergoing treatment for any physical or medical condition must declare the true nature of such condition at the time of booking and make arrangements for the provision of any medication or other treatment required during the tour. Failure to make such disclosure will constitute a breach of these Booking Conditions and may result in such persons being excluded from the tour in which case all monies paid will be forfeited and the Company will not be liable to pay any compensation whatsoever.
For persons with pre-existing conditions including but not limited to: illness, diabetes, pregnancy, asthma, gastric reflux, cancer, heart problems, epilepsy, respiratory or mobility problems you should visit a doctor for a personal medical examination obtaining a medical clearance that certifies you as fully able to participate in the tour as described within the company literature specific to your tour or tailored arrangements prior to booking. You are responsible for assessing whether a Tour is suitable for you. The Tour Operator does not provide medical advice. It is your responsibility to assess the risks and requirements of each aspect of the Tour based on your own unique circumstances, limitations, fitness level and medical requirements.
Where a clearance is not obtained and either are not allowed to commence the tour locally, or suffer personal injury or death as a result, we have no liability to you for any cost, loss or damage which you suffer nor will we refund you the cost of any unused portion of your travel arrangements.
It is the Clients’ responsibility to ensure that he/she does not behave in a way which causes offence or danger to others or which risks damage to property belonging to others. In such circumstances all suppliers (e.g. hotel managers, airline pilots) and the Company have the right to terminate arrangements made on the customers’ behalf, in which case the Company’s responsibility to the Client ceases immediately. Therefore, the Company will not be liable for any refunds, payment of compensation or reimbursement of any cost or expenses incurred as a result. Further, the Client will be liable to reimburse the Company for any expenses whatsoever that it incurs as a result of such behavior.
In order to process your booking, the Company needs to collect certain personal details from you. These details will usually include the names and addresses of party members, credit/debit or other payment details and special requirements such as those relating to any disability or medical condition that may affect the holiday arrangements. We take full responsibility for ensuring that proper security measures are in place to protect your information.
Travel insurance is highly recommended on all tours and should be purchased at the time of deposit. Travel insurance includes medical, dental, emergency transportation, and accident coverage up to a certain amount. The insurance also covers baggage protection and delay including lost or stolen items. In the event of a trip cancellation or interruption, the traveler would be covered up to a certain amount.
The tours operated Quilty Travel have been designed to provide participants with an exposure to the true nature of the environment visited and therefore involve an element of potential risk and exposure to potential hazards. All bookings are accepted on the understanding that the client appreciates such risks and hazards and that they undertake all tours at their own volition.
Quilty Travel will make arrangements arrangements for hotels, transportation, sightseeing, restaurants or any other services in connection with the itinerary. Quilty Travel will exercise reasonable care in making such arrangements, however, we will not be held responsible for the willful or negligent acts of hotels, factories, any air carrier, or any other company that is affiliated with our tours. This includes, but not limited to their respected employees, servants, agents, or representatives.
Quilty Travel, or the organizer is not liable for any accident, injury, property damage or personal loss to you or to those traveling with you in connection with any accommodations, transportation or other travel services or resulting directly or indirectly from any occurrences or conditions beyond its control, including, but not limited to acts of terrorism, civil strife, strikes, natural disaster, fire, adverse weather, defects in vehicles, breakdown in equipment, strikes, theft, delay or cancellation of or changes in schedules or itinerary.
By agreeing to the terms & conditions, Client release Quilty Travel from its own negligence and assume all risk thereof.
The Contract constituted by the Company’s acceptance of the Client’s booking subject to these Booking Conditions shall constitute the entire agreement between the Client and the Company in relation to the relevant booking, and shall exclude all other terms and conditions (except for the relevant suppliers’ conditions and any applicable international conventions) and shall supersede all prior or contemporaneous communication or information provided.
